The National Center for Families Learning, a private nonprofit organization located in Louisville, KY, is seeking an External Affairs Coordinator who will provide both administrative and project coordination support to the External Affairs department, which is responsible for the fundraising, communications, marketing, creative, and conference functions for NCFL. Reporting directly to the Director of External Affairs, this role will be responsible for keeping daily department operations and systems running smoothly, from leading data entry and data maintenance in the Salesforce fundraising system to supporting the Associate Director of Communications with email communication in Mailchimp. This position will expose the employee to a comprehensive view of the different functions and career pathways that comprise a small and nimble External Affairs shop at a national nonprofit organization. This is a remote position.


Development Division Support

  • Gift entry and acknowledgement
  • Fundraising data and document entry and maintenance in both Salesforce and SharePoint
  • Online research of new donor prospects and grant opportunities
  • Copywriting and copyediting support, as needed

Communications Division Support

  • Mailing list and email management through NCFL's MailChimp and Salesforce database
  • Copywriting and copyediting support, as needed
  • Supports NCFL's web developer in making specific updates to NCFL's website
  • Collects social media metrics and data for analysis and continuous improvement purposes
  • Supports team members with miscellaneous administrative tasks and projects, as needed, including NCFL's annual Toyota Family Teacher of the Year campaign

Conference Division Support

  • Provides a combination of administrative and coordination support to the External Affairs department related to NCFL's annual Families Learning Conference planning, on-site implementation, and post-event reporting. Sample activities include, but are not limited to:
    • Managing hotel reservation list
    • Making flight reservations for special guests
    • Leading volunteer management on site
    • Securing offsite storage
    • Creation of Call for Proposals presenter application and conference-related surveys and forms.
    • Post-event analysis and report of metrics, audience demographics, etc.
  • Edits to conference website and mobile app as needed
  • Order materials or supplies as needed
  • Serve as backup for registration data entry

Creative Division Support

  • Manages design request flow for NCFL's graphic designer
  • Manages NCFL's Shopify account
  • Orders NCFL-designed swag/branded products
  • Liaises with NCFL's graphic designer and outside printers

  • Bachelor's Degree or at least four years of experience working in a professional administrative capacity
  • Strong attention to detail and ensuring high quality products
  • Comfortable drafting copy for external affairs communications
  • Demonstrated proficiency in speaking, reading, and writing in English
  • Bilingualism in Spanish a plus
  • Excellent communication skills and a willingness to collaborate with colleagues
  • An interest in learning more about career pathways within the nonprofit sector and External Affairs field
  • Proven project coordination skills
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Proficiency with various presentation hardware and software
  • Demonstrated ability to work effectively with diverse audiences, ensuring all participants feel respected and valued
  • Ability to maintain focus under pressure and with multiple priorities
  • An unwavering belief that all families want the best for their children and deserve to be treated with respect and dignity
  • Proven track record of ambitious results in previous roles
  • Self-awareness, a regular practice of reflection, and a desire to continuously improve
  • Skilled at collaborative action planning and execution
  • Ability to travel minimally but will attend conferences and seminars as required


  • Ability to occasionally lift and/or move up to 30 lbs
  • Prolonged period of sitting at a desk and working at a computer
  • Communicating with others to exchange information
  • Ability to travel when deemed safe to do so approximately 5% of the time, including occasional nights and weekends.

Salary range $40,000-$50,000
